How does Sumtracker sync your inventory?

To begin syncing inventory, you must first turn on the inventory sync. Inventory data is synced from Sumtracker to your store every 10 minutes. Sumtracker updates the 'Available inventory' from Sumtracker to your stores. It is important to note that inventory data flows only from Sumtracker to your store. This means that any changes to inventory must be done within Sumtracker for them to be reflected in your store.

Inventory sync is automatically happening from Sumtracker to your store every 10 minutes. We are constantly fetching the orders and updating the inventory on the stores. If you make inventory adjustments in Sumtracker, receive a PO or make a stock transfer, then it is queued up for sync immediately to the stores.

This ensures that your store inventory is consistently updated with the latest information from Sumtracker.


How does Sumtracker sync your orders?

Orders are synced from your store to Sumtracker every 10 minutes, and the inventory sync is queued up immediately after the order sync is complete.

Once you turn on inventory sync, Sumtracker begins syncing orders. If inventory sync is turned off, Sumtracker will not sync order data.

Sumtracker automatically takes care of order refunds, restocks, and cancellations. This means that the inventories related to these actions are updated both on your store and within Sumtracker without any manual intervention.

Additionally, you do not need to connect any shipping apps to Sumtracker to detect order statuses. Open orders and their fulfillment statuses are automatically detected from your store and updated in Sumtracker, ensuring accurate inventory levels that reflect the latest status of all orders.


How does Sumtracker sync your products?

As soon as your store is connected, product data is synced from your store to Sumtracker, regardless of whether inventory sync is turned on.

Only products with SKUs are copied to Sumtracker, as SKUs are mandatory for Sumtracker's operation. For Shopify stores, only active products with SKUs are synced to Sumtracker by default, although you can toggle the setting to include draft products as well. Learn more.

SKUs serve as unique identifiers, allowing Sumtracker to efficiently manage your inventory. For instance, if you create multiple variants of the same product on your store, such as "Blue Jeans - Medium" and "Blue Jeans - Medium Special Edition," assigning them the same SKU enables Sumtracker to link them to the same product.

You can easily track how many listings a product is linked to by navigating to the Online Listings tab in Sumtracker.

Sumtracker dynamically updates product information in real-time for Shopify, BigCommerce and WooCommerce stores. Any changes made to products on these stores are promptly reflected in Sumtracker.

For marketplaces such as Etsy, Amazon, and eBay, there may be a delay of up to 12 hours before updated information is available in Sumtracker due to API restrictions. Nevertheless, you have the option to manually sync listings at any time through the 'Hard Refresh Listings' button in the Store Settings, ensuring that your data remains current and accurate.


How are new products synced?

To sync new products to Sumtracker, you must first add them to your online store. The products are then synced to Sumtracker based on the Sync frequency for your store mentioned above.

But, you can manually sync these listings immediately by clicking the "Hard Refresh Listings" button in the store settings.

You can perform a hard refresh once every 4 hours.

Once a new product is synced to Sumtracker, you must add its inventory in Sumtracker. Sumtracker will then update the inventory on your store, ensuring consistency across all connected stores.

Keep in mind that if you add SKUs to the listings on Shopify after turning on sync, Sumtracker does not automatically copy the inventory. You will need to update the inventory for these new products manually in Sumtracker.


How is the inventory updated?

How is inventory updated when you adjust the inventory of a SKU in Sumtracker?

When you adjust the inventory of a product in Sumtracker, the updated inventory level is automatically synced across all your connected stores. It’s important to note that Sumtracker will not detect or reflect any inventory changes made directly in your store; all inventory adjustments should be made within Sumtracker.

When the inventory is adjusted in Sumtracker, it updates the ‘In Stock' inventory. The ‘Available' inventory is then calculated using the updated 'In stock’ quantity, and it is then updated across the stores.

For example, suppose you have a product available on three stores: Shopify, Etsy, and Amazon. If you change the inventory for this product in Sumtracker from 10 to 15, the inventory level on all three stores will be updated to 15.

Sumtracker updates the Available Inventory to your store, which is calculated as follows:

Available Inventory = In Stock - Booked Stock

  • In Stock: This the total physical stock you have.

  • Booked Stock: is the unfulfilled quantity committed in Open orders and not yet shipped.

This ensures that your stores always have the same inventory levels as Sumtracker.


How is inventory updated when you receive an order on your store?

When you receive an order on your online store, Sumtracker ensures your inventory levels are accurately updated. Here's how it works:

Imagine you are selling apples and you have 50 apples in your warehouse. When you receive an order for 4 apples, Sumtracker will book these 4 apples and update the available stock on your store to 46.

Before order fulfillment:

  • In Stock: 50

  • Booked: 4

  • Available: 46

Although you have not yet fulfilled the order, your physical stock remains 50. However, the available stock, which is the figure Sumtracker uses to update your stores, is now 46 (50 - 4).

Once you fulfill the order, the physical stock is reduced to 46, and the booked stock is reset to 0. Sumtracker will still update the store with 46 as the available stock.

After order fulfillment:

  • In Stock: 46

  • Booked: 0

  • Available: 46

This process ensures that your physical stock count matches the "In Stock" figure in Sumtracker at all times, providing an accurate reflection of your inventory and preventing discrepancies.


How is inventory updated for listings with duplicate SKUs?

In Sumtracker, SKUs are crucial for managing inventory. When multiple listings share the same SKU, Sumtracker links them to the same product, ensuring inventory consistency across all linked listings.

If a product in Sumtracker has a stock quantity of 21 for the SKU "BLUEJEANSM," all listings with this SKU will reflect the same inventory level of 21. This unified approach ensures that any changes to the stock level in Sumtracker are automatically pushed to all connected listings, maintaining accuracy.


How to sync orders, inventory or products manually?

Sumtracker automatically syncs inventory to all your connected stores every 10 minutes. However, there are times when you might need to manually trigger a sync. Different Sync functions from the store settings allows you to manually sync Orders, Inventory, and Listings at any time.

Manual syncing can be useful if:

  • You are testing changes or new features.

  • You have created a new listing on Etsy, eBay, or Amazon and need it to sync immediately.

  • You notice discrepancies between Sumtracker and your store and want to correct them promptly.

Sync Inventory & Orders Manually

Sumtracker will fetch the latest orders from your store. Additionally, any inventory changes that have occurred since the last sync will be pushed to the store.

Hard Refresh Inventory

Hard Refresh Inventory will push the inventory of all your products from Sumtracker to your stores. Use this when there is a discrepancy even after performing a manual sync of inventory and orders.

This may take some time to complete. Once finished, the timestamp of the last inventory sync time will be updated.

Sync Listings Manually

‘Sync Listings Manually’ will fetch any updated listings since the last sync from your store to Sumtracker. This ensures that your listings are up-to-date in Sumtracker.

Hard Refresh Listings

If you notice that some product data is not in sync with your online store, you can use the Hard Refresh Listings action to fetch all the listings from your store and update them in Sumtracker.

Make sure that you have assigned SKUs to your listings for them to sync.
