What is Close at Quantity?

The "Close at Quantity" is a threshold that, when reached, marks your SKU as sold out on your online stores. For example, if a product's close at quantity is set to 10, Sumtracker will push 0 as the available inventory to your online store when the item's inventory reaches 10 or below 10. This reserves 10 units of the product, which can be useful in various scenarios such as wholesale orders, physical store inventory, creating an artificial scarcity of a product or simply to reserve quantity in stock for fast moving items.

In this example, the "GREEN-SKIRT-S" SKU will be marked as sold out in your online store because its available inventory has reached the close at quantity threshold.

Important Points to Keep in Mind

  • The close at quantity works independently for each location in Shopify. If a product's inventory at a specific location hits the threshold, that location in Shopify will be marked as out of stock for that product. This does not affect the inventory status at other locations.

    • For instance, if you have set a close at quantity of 10 for a product and one of your warehouses reaches this threshold, only that warehouse will show the product as out of stock. The product will still be available at other locations where the inventory is above the threshold.

  • Close at quantity can be set for both bundle and normal products.

  • For bundles, the close at quantity for individual components does not determine the bundle's stock status. You need to set it separately for the bundle.

Changing Close at Quantity

From Product Details Page

  • Navigate to the product’s details page.

  • Scroll to the ‘Close at quantity’ field.

  • Update the quantity as needed and save the changes.

In Bulk Through CSV Import

  • Go to the product list page and export the list to an Excel file.

  • Open the exported file and update the close at quantity column for the desired products.

When updating in bulk, it's best practice to delete all columns except for the id, name, SKU, and the column you are editing. This ensures that any accidental changes to other details are not reflected in Sumtracker. Only the columns present in the imported file will be updated, minimising the risk of unintended modifications.

  • Save the updated file and import it back into Sumtracker.

Once the upload is complete, the Close at quantities will be updated for the products.

You can only upload 5000 products in a single import. If you have more than 5000 products, you could split the number of products into multiple CSV files and upload them.
