Inventory types in Sumtracker

In this article, we’ll explain the different types of inventory in Sumtracker, including In Stock, Booked, Available, and Incoming quantities.

You can view your inventory on:

  • Inventory Page – Displays incoming inventory for each warehouse separately.

  • Consolidated Inventory Report – Shows total incoming inventory across all warehouses.

In stock

In Stock refers to the total physical inventory of an item in a warehouse.

When you adjust stock in Sumtracker, you are changing the In Stock value. Options like Add Stock, Set Stock, and Subtract Stock will directly affect this quantity. Learn how to adjust inventory here.

Booked

Booked Inventory represents the unfulfilled stock reserved for an order. It increases when you receive an order and it is not fulfilled yet. It decreases when the order is fulfilled or canceled.

In Sumtracker, booked inventory cannot be changed manually as it is automatically calculated based on the fulfillment status of your orders.

How is inventory booked for Shopify orders?

When an order is placed on Shopify, inventory booking occurs based on the selected location in the order. Sumtracker deducts inventory from the warehouse mapped to that location.

If no warehouse is mapped to the location, the order will not affect Sumtracker inventory and its inventory will not sync to Shopify.

If you change the order quantity on Shopify, it will be tracked by Sumtracker. However, if you change the order location, you will need to refresh the order by going to the order from the order list.

How is inventory booked for orders from other platforms?

For all other platforms, Sumtracker assigns orders to a warehouse based on the configured warehouse ordering preference. Inventory is booked as per warehouse priority order set on Sumtracker.

To modify this preference, go to: Settings → Warehouses → Set Warehouse Ordering.

How is inventory booked for bundles and its components?

When you receive order for a bundle, both the bundle and its components quantity is booked in Sumtracker.

Why is booked quantity different in Sumtracker compared to the committed quantity on my Shopify store?

If there is a difference between the committed quantity in Shopify and the booked quantity in Sumtracker for a particular SKU, it may be due to:

  • Multiple Stores: Sumtracker includes booked quantities from all connected stores.

  • Unsynced Orders: Some past orders may not have synced to Sumtracker.

  • Bundle Components: Booked quantity in Sumtracker may include individual items from bundles.

Available

Available Stock is the inventory ready for purchase by customers.

Available Stock = In Stock - Booked Stock

Available inventory is synced to your store. The available inventory in Sumtracker should match the available stock displayed on your store.

Incoming

Incoming inventory refers to stock that is due to arrive from suppliers (via Purchase Orders) or scheduled for transfer between warehouses (via Stock Transfers). It is not synced to your store.

To add incoming inventory, create a Purchase Order or Stock Transfer and mark it as incoming.
