Archiving and Deleting Products in Sumtracker

Learn how to Archive, Bulk-Archive, Undo-Archive, and Delete products in Sumtracker.

Archiving a Product

Archiving a product hides it from the interface, meaning it won't appear in product lists, stock levels, or during stock adjustments.

How to Archive Products

Go to Product List > Select Products > Archive

What happens when you archive a product?

  • The complete history of archived products is retained in the system and appears in reports like sales, purchase, or inventory logs that were created before archiving the product.

  • The SKU will still show up as a normal product on the orders that get synced from the online store. It will also appear in all sales reports.

  • You will not be able to maintain inventory for archived products.

  • The archived SKU will still be connected with the online listing, however, inventory will not be updated by Sumtracker for that SKU.

  • Archived products cannot be added to purchase orders or used in Sumtracker for bundles or stock adjustments.

  • It can be unarchived from the Products List at any time (see how to unarchived products below).

Deleted and archived listings on your stores are not be updated in Sumtracker. You'll need to archive or delete the products in Sumtracker separately.

How to Bulk-Archive Products using Filters on Sumtracker

Go to Product List > Filters > Choose Filter Category & Apply > Click on Bulk Selectors to select all the items.

How to Undo-Archive Products

Go to Product List > Set Archived Filter to True > Select Products > Undo Archive

What happens when you undo-archive a product?

  • The product will reappear as it was before in product lists, stock levels, and all relevant sections of the Sumtracker interface.

  • The inventory history, as recorded before archiving, will again become accessible in Sumtracker.

Deleting a Product

When you delete a product in Sumtracker, its entire history is removed from Sumtracker.

How to Delete Products:

Product List > Set Archived Filter to True > Select Products > Bulk Actions > Delete

For deleting a product you will need to archive it first.

What happens when you delete a product?

Any references to the product in orders, inventory logs, stock adjustment form or purchase orders will be replaced by a new product called 'Deleted Product'.

Furthermore, data about the product will not be visible in reports, and the product or its history cannot be recovered thereafter.

Recommendation: Archive products rather than delete them if they were previously used to retain historical data.
