Connect Sumtracker to QuickBooks Online

💡 The QuickBooks integration is available on the Replenish plan.

 

Sumtracker pushes purchase orders and GRNs from Sumtracker to QuickBooks Online. Once connected:

  • Every Purchase Order moved to Incoming is pushed as a Purchase Order in QuickBooks.
  • Every GRN marked as Received is pushed as a Bill, linked to its parent PO.

Sumtracker never edits your vendors, items, taxes, or chart of accounts.

Before you start

Sumtracker matches records to QuickBooks by name. There is no manual mapping. Before connecting, make sure:

  • Supplier names in Sumtracker match the vendor names in QuickBooks.
  • Product SKUs in Sumtracker match item SKUs in QuickBooks.
  • Tax names and rates in Sumtracker match the tax codes in QuickBooks.
  • Your QuickBooks base currency matches your Sumtracker base currency.

Connect QuickBooks Online

  1. Go to Settings → Accounting Integrations → QuickBooks Online.
  2. Click Connect to QuickBooks and authorize the connection on Intuit.
  3. Pick your QuickBooks accounts (Accounts Payable, Extra Charges, Extra Shipping, Non-taxable tax code).
  4. Review the name alignment checklist.
  5. Click Enable Integration.

💡 Only Purchase Orders created after connecting QuickBooks will be synced. Your existing QuickBooks data will remain unchanged, so you can safely test the integration without affecting historical records.

Tracking sync status on a PO or GRN

On each PO and GRN, you'll find a QuickBooks sync status badge next to the record number and status in the top right.

  • Sync status — see the current push status on the badge.
  • Errors — hover over the badge to see the error details if a push failed.
  • Manual push — click the Push to QBO icon next to the badge to push the record manually.

Managing the integration

From Settings → Accounting Integrations → QuickBooks Online you can change account selections, view integration logs, disable the integration to pause pushes, or delete it entirely.

⚠️ Deleting the integration removes the link between past Sumtracker records and their QuickBooks counterparts. Reconnecting later starts fresh — previously pushed POs and Bills will not re-link automatically.

Using US Automated Sales Tax?

If you are based in the US and using Automated Sales Tax, the tax rate pushed by Sumtracker will be ignored by QuickBooks.
