Set up min max levels and low stock alerts

Min and max levels help you track when products need reordering and how much to stock.

What min level means

Min level is the threshold below which a product is considered low in stock. When a product's available quantity drops below its min level, it shows up in low-stock filters across Sumtracker and is included in your low stock alert email.

Min levels power low-stock filters throughout the product — on the Inventory page, in reports, and when creating purchase orders — so you can quickly see what needs reordering.

What max level means

Max level is the maximum quantity you want to stock for a product. This is mainly useful for retail stores with limited shelf space, where you don't want to order more than what fits on the shelf.

Per SKU per location

Min and max levels are set per SKU per location, so you can have different thresholds for the same product across different warehouses or stores.

How to set min/max levels

You can set min and max levels in two ways:

  • Manually — Set the min and max levels for each product manually from the Inventory page
  • In bulk via CSV — go to the Inventory page and import min and max levels for multiple SKUs and locations in one go. On top right of page click on 3 dots button > Import Inventory thresholds

Low stock alert emails

Sumtracker sends a daily email listing all products that have fallen below their min level. This email is enabled by default for all users.

To turn it on or off, go to Settings → Your profile → Notifications and check or uncheck the low stock alert option.
