Warehouse Permissions in Sumtracker

Who has full access by default

Owners, Admins, and users with either the Manage Warehouse or Manage Sales Channel permission automatically have access to all warehouses — including any new warehouses created in the future.

To check a user's permissions: Settings → Manage Users → click the user → Permissions section.

What new users can access

Newly invited users start with access to all warehouses. Once they accept the invite, you can restrict them to specific warehouses.

How to restrict a user to specific warehouses

  1. Go to Settings → Manage Users and open the user.
  2. Make sure both of these permissions are disabled:
  3. Assign the specific warehouses they should have access to.

If either permission is enabled, the restriction won't apply — the user will retain access to all warehouses.

When a new warehouse is created

Users with full access automatically gain access to the new warehouse. Users with restricted warehouse access do not — you'll need to assign the new warehouse to them manually.

Saved views and warehouse access

In the Inventory table, saved views are filtered by warehouse access. A user will only see and use saved views tied to warehouses they can access.

Archiving a warehouse

Before archiving, remove all users who have been granted access to that warehouse through warehouse-specific permissions.
